Overview

Add up shift hours and overtime

Timesheet maths trips up many — a shift from 9:00 am to 5:30 pm with a 30-minute unpaid break is 8.0 paid hours, not 8.5. Decimal hours are what payroll uses, so 7 h 45 min = 7.75 hours.

Australian awards specify ordinary hours (often 38/week), with overtime at 1.5× for the first 2-3 hours and 2× thereafter. Sundays and public holidays attract penalty rates of 2-2.5×.

Formula

Decimal hours

hours = (end − start) − unpaid_breaks
decimal = hours + minutes/60
Pro tips
  • Round to the nearest 6 minutes (0.1 h) for fair payroll.
  • Always log breaks separately — Fair Work audits commonly flag this.
  • Overtime is calculated against ordinary hours, not gross.
